Determining Financial Aid Recipients

A "Financial Aid Status" indicator has been added to DegreeWorks that allows advisors to see if a student has Title IV federal aid or WV state aid that will be affected. The aid must be in offered or accepted status in order for it to indicate the student has aid that may be impacted. If a student has declined the aid, it would not show.

Students can also view their financial aid online through their WVU Portal. Viewing CPoS Results for a Specific Student

To view CPoS results for a student:

  1. Go to your WVU Portal
  2. Click on the "STAR" button
  3. At the main menu, select the "Faculty & Advisors" tab at the top
  4. Select the "Course Program of Study (CPoS)" link
  5. Enter the student ID number and select the semester from the drop-down box to review
  6. This will show if the courses the student is registered in for the semester are degree-pursuant (count toward enrollment requirements for Title IV federal aid and WV state aid)
  • Results will be available if the student has registered for courses and the CPoS process has evaluated their courses for the selected semester.
  • The CPoS process does not run immediately, so it may be a few business days before this information is updated after changes are made.
  • If no results appear under the tab, the CPoS process has not evaluated the student's registered courses yet for the selected semester.

Override Requests and Access

This will be determined by the colleges and must be updated appropriately in Banner. Banner will determine which advisor receives communications and access to making overrides in the system.

Change Major Requirements to Include a Minor

In this situation, the advisor may be able to utilize a minor the same way they would an area of emphasis and add exceptions to the requirements as needed. Also, keep in mind that once a student is registered full-time in degree-pursuant credit hours, additional courses beyond those hours do not need to be degree-pursuant.

High School Courses

Dual Enrollment and Degree-Pursuant Courses

At this point, CPoS has been discussed in general with high school counselors, but there has not yet been any sort of holistic approach taken to communicate with all high schools. We are not sure when and how that would be implemented, but we will continue to investigate and update the colleges.

Reports and Communications

Degree-Pursuant Communications to Advisors

We are planning a series of emails to both students and advisors/points of contact to alert when one or more classes presents a risk to the student’s Title IV federal aid or WV state aid. Drafts were shared in Phase II.

CPoS Review Timeline and Frequency

CPoS reviews begin after registration and reports will be run on a monthly, weekly, or daily basis based on how close the next first day of classes is to the date of reporting. Each report sent along for faculty review will include a review deadline. Any corrections not addressed by that deadline will prompt a notification email to the impacted students.

CPoS Communiations and College Designees

Each college can determine who receives the notifications for their students. However, these staff members need to be listed as the advisor of record in Banner.

Other Circumstances

Student Fails to Register for 12 Degree-Pursuant Hours

The student’s advisor will not be held responsible - the student must ultimately take ownership and accountability for their own schedule. Advisors should make appropriate notes in DegreeWorks to document how the student was advised to schedule.

Utilizing a 2+2 Program

This information is specific to our regional campuses when trying to combine an associates and a bachelor’s degree

Our committee is doing some research to determine if that is an option student could utilize to maximize their financial aid eligibility in that scenario. We will update the colleges with any new information.

Full-time vs. Part-time Enrollment Information

Based on some raw numbers* from Fall 2019 and Spring 2020, the approximate percentages of full-time and part-time enrollment on all three campuses are as follows:
