The WVU Hub

Communications from the WVU Hub

It is critical that students pay attention to notices sent from the WVU Hub because they could be regarding their financial aid or a balance due.

  • Emails from the WVU Hub are sent to students’ MIX emails
  • Students can add their MIX email on their mobile devices
  • Students should check their MIX email regularly via the WVU Portal to ensure they don't miss a notification
  • Students can view up-to-date information in the WVU Portal for their MyAccount and financial aid information

How can students access their information?

Student information related to financial aid and billing can be found in their WVU Portal and via their WVU MyAccount.

WVU Portal

Students can find their financial aid information and student record information in the WVU Portal.

  • "Financial Aid Information" is where students can review financial aid offers, cost of attendance, eligibility criteria (including renewal), and holds
  • STAR is the system where students can view their records, add or drop courses, access transcripts, and more

The myWVU Portal (Admissions portal) is for admission purposes only and separate from the WVU Portal.

WVU MyAccount

Students can access their WVU MyAccount billing system through the yellow "PAY YOUR BILL HERE!" button.

Within their WVU MyAccount, students can:

  • View billing details
  • Access On Demand Statements
  • Make payments
  • Sign up for payment plans
  • Authorize parents or guests to view charges or make online payments

How can parents or guests access student information?

Proxy Access: The Parent/Guest Portal

  • Family Educational Rights and Privacy Act of 1974 (FERPA) protects a student’s privacy of education records, such as financial aid, billing details, schedule details, grades, etc.
  • Allows parents and guests to view financial aid information and academic records via their own login
  • Allows parents and guests to discuss protected information with the WVU Hub and other offices upon confirming passphrase (exception: GPA)
  • Students can revoke permission at any time

Proxy Access: Student Setup in STAR

  • Each proxy must have their own account with a valid end date
  • A passphrase is required and must be confirmed before we can discuss information
  • Student can revoke permission at any time
  • Authorizations selected for what information the proxy has access to view and discuss

Students can use these detailed instructions to grant proxy access to parents and guests. If a parent or guest wants to make an online payment on your behalf, they also need Authorized User access.

Authorized User: WVU MyAccount

  • Allows parents and guests to view billing details and make online payments
  • Needed for online payments even if the parent or guest already has proxy access via the Parent/Guest Portal

Information about navigating WVU MyAccount and instructions for setting up Authorized User access are available on our WVU MyAccount Tutorials webpage. If a parent or guest wants to discuss your account details with the WVU Hub, they also need proxy access via the Parent/Guest Portal.

How can we plan for fall charges?

Cost of Attendance (COA)

  • Cost of Attendance is:
    • For financial aid purposes only
    • Not necessarily the actual amount you will pay
    • Composed of educational expenses that a student may accrue while pursuing their degree for the semester and/or year
  • Billable and non billable costs are included in the COA
    • Items included as billable costs will not necessarily be billed
    • Items will remain in the COA even if you opt out of services such as Student Insurance or the First Day Complete course materials program
  • A student's financial aid cannot exceed their COA

First Day Complete (FDC)

  • WVU partners with Barnes & Noble to provide undergraduate students with rented course materials at a lower, flat fee
  • Students must opt out if they do not want to participate in the program
    • The fall opt-out window is open from July 6 to August 29
  • Emails about this program will be sent to student MIX accounts from Barnes & Noble College
  • If you have questions or issues email email Barnes & Noble Customer Care

Fall Billing Information

  • Fall charges will be available on or around July 1 through WVU MyAccount for students who have registered for classes
  • Students who owe a balance will receive a billing notification via their MIX email on or around July 6
  • If you owe a balance, payment is due on August 1 — a 2.85% late payment fee will follow if the deadline is not met
  • Charges may change for various reasons. It is important for students to monitor their WVU MyAccount for the most up-to-date billing information
  • Billing notifications are sent each month for remaining outstanding balances — payment is typically due the first of the following month

One Big Beautiful Bill Act (OBBB)

Signed into law July 4, 2025, and take effect July 1, 2026.

Changes coming with OBBB include updates to federal student loans and repayment plans:

  • For parents of dependent undergraduate students who plan to borrow the parent PLUS loan, the annual limit is $20,000 per year per student. The total borrowing limit is $65,000.
    • Legacy provision status for current student borrowers is not applicable to new student borrowers. If a parent borrowed a PLUS loan for a student prior to July 1, 2026, the old limits may apply only for that student – as long as that student maintains their legacy status. Legacy does not carry-over to a sibling.

  • Students enrolled less than full-time in may have reduction of federal loan eligibility

Private/External Scholarships

  • Checks must be received by the payment deadline to credit as payment

College Savings Plan (529, Prepaid College Plan)

  • Contact your plan manager for instructions on how to send funds
  • Payment must be received by the payment deadline to credit as payment

Third-Party Sponsorship

  • Official authorization must be received by the payment deadline to credit as payment

Making Direct Payments

Online Payments via WVU MyAccount (fastest method)

  • Pay online with an e-check using the routing and bank account number
  • Pay online with a debit or credit card (2.85% convenience fee)

Mailing Payments

  • Checks, money order, or certified bank check should be made payable to WVU or West Virginia University
  • Include the student’s name and WVU student ID number
  • Cash payments are not accepted by mail or in person

Enrolling in a Tuition Payment Plan

WVU offers an interest-free payment plan through WVU MyAccount to help you manage student balances

  • The earlier you enroll, the more time you can spread your payments over
  • A $35 enrollment fee plus the first payment are due when you sign up
    • You can sign up between July 1 and July 15 to make 5 payments
    • Beginning July 16, the 4-installment option opens
    • The plan would need to be in place by August 1 to avoid late fees
  • Students can enroll, manage their account, and make payments 24/7

Applying for Credit-Based Loans

Federal Parent PLUS Loan

  • Lender: Federal Government
  • Borrower: parent of a dependent undergraduate student
  • Application:
    • 2026-2027 FAFSA required
    • 2026-2027 parent PLUS loan application and Master Promissory Note (MPN)
  • Interest: fixed
  • Annual limit of $20,000 per student

Private Education Loans

  • Lender: private lenders and financial institutions
  • Borrower: student or parent (varies by lender)
  • Application: contact lender
  • Interest: varies by lender

What if the student's financial aid exceeds what is owed for the semester?

Refunds

Some students are due a refund because their financial aid and/or payments total more than their WVU charges.

If the student is due a refund:

  • Authorized aid generally pays to the bill 10 days prior to the first day of a semester (for students that have completed all aid requirements)
  • Students may begin setting up direct deposit usually around mid-July
  • If direct deposit is set up, the refund may be available on or around August 18
  • If you do not choose a preference, a check will be mailed to the student's mailing address in STAR, which usually takes longer than direct deposit

Students and parents who are due a refund will receive an email with instructions on how to set up a Nelnet Refund Portal account.

  • Parents receiving a parent PLUS refund will receive their email after the refund is initiated
  • Refunds appear in the “charges” column in your WVU MyAccount, but it’s not a charge — it’s the refund you are due
  • Refunds are issued based on what is owed at the time it is issued
  • Students should monitor their WVU MyAccount as charges are subject to change

Are there requirements students must meet to maintain financial aid?

Maintaining Aid

Aid eligibility can be impacted by GPA, the number of earned credit hours, completion of attempted courses, submission of the FAFSA each year by March 1 priority deadline, and more.

Most aid types have enrollment requirements such as:

  • Full-time (12 credits or more) or part-time (6-11 credits) enrollment
  • Registered for credits required for the degree program

Not meeting enrollment or other requirements may result in aid being canceled or prorated.

Be aware of requirements for all of the aid that is offered, such as annual applications or documentation. Learn more on our Maintaining Your Aid webpage.

Satisfactory Academic Progress (SAP)

Students must maintain minimum Satisfactory Academic Progress standards to maintain their federal and state financial aid eligibility.

Students must:

  • Have a minimum overall GPA of 2.0 by the end of each spring semester
  • Complete at least 67% of all credit hours attempted by the end of each spring (withdrawals, incompletes, and failing grades all have negative impact on this percentage)
  • Complete their program of study within 150% of the hours required for the program (120 credits x 1.5% = 180 attempted hours)

WV State Grant Renewal Requirements

WV Higher Education Grant renewal criteria requires that the student:

  • Have a minimum overall GPA of 2.0
  • Complete the FAFSA by the deadline each year, typically April 15
  • Maintain satisfactory academic progress
  • Meet the eligibility requirements for the grant

Renewal is reviewed at the end of spring, but students can attempt to regain eligibility by taking summer credits at their own expense.

  • Summer financial aid is limited to any remaining loan eligibility

Scholarship Renewal Requirements

For institutional scholarships and Promise Scholarship (for WV residents), students must:

  • Earn at least 30 credit hours each academic year (fall, spring, and summer)
  • Have a minimum overall GPA of at least 2.75 by the end of summer
  • Credit hours earned before the fall 2026 semester do not count towards earned hours but do count towards overall GPA

    Tuition payment plan opens for the 5 installments schedule once charges become available.

    MIX email notifications to students with a balance

    The opt-out window for the First Day Complete course material program opens for fall 2026.

    Due date for July billing notifications

    Late fees are assessed on past due balances after August 1.

    Financial aid disbursement for fall 2026 (if all requirements completed).

    First day of fall classes!

    Refunds are typically available to students signed up for direct deposit by the August 8 deadline.
